Response Options Guide for Templates

Response options are used to collect feedback or data from the frontline worker during the execution of tasks or to give instructions enhancing execution guidance. Therefore, it is important to understand how each option works.

Note for all type of options:

  • Description can be added to all options
  • The three dots icon allows you to duplicate or delete the field.
  • The “Required” checkbox sets the field as mandatory.

Text

The "Text" option allows respondents to enter their data freely.

The gear icon (settings) shows advanced settings for:


  • Character Limit: Maximum number of characters defines the minimum or maximum amount of letters and numbers that text can have.
  • Content Validation: Defines rules for text content.

These two options can be used together. This means that you can delimit the number of characters and add validation for the content of those characters. 

Note: Inside the Content Validation group, there are “Contains” and “Does Not Contain” options for mandatory content and for disallowed content anywhere in the text. The options “Start with” and “End with” define the mandatory content at the beginning and end of the text, respectively.

Instructions

The "Instructions" option allows you to give instructions without asking the respondent for any information back.

You can add files with specific instructions. Simply click "Add File" and select the desired file. After uploading the files you can drag and drop them to reorganize their order.

Note: During execution, the files will appear in the same order as in the template.

Number

The "Number" option allows the respondent to answer numeric characters. You can previously define the unit of response by clicking on the "Add unit" field.

The gear icon (settings) defines advanced settings for: 


  • Character Limit: Maximum number of characters defines the minimum or maximum amount of numbers that the field can have.
  • Conditional Option: By defining parameters to the number inserted (between, more than, less than, equal to, less or equal, more or equal) you can trigger conditions. 
Select the option "Create Conditional". Then, choose the condition you want, for example, "Create Action".

Then choose the parameters you want for that condition.

Multiple

The "Multiple" field allows you to enter a question with multiple options. 

The gear icon (settings) allows you to configure advanced settings for:


  • Answer Limit: Maximum number of answers that can be selected.

Selection

The "Selection" option allows the respondent to select only one option.

During the template creation, if you choose this option you can choose between customize the answers according to your preferences by clicking on the "Customize response" button or choosing one of the preset response groups available.

Note: You can also edit the preset answers by clicking on the edit button in front of each preset.

Conditional Resource: You can set conditional paths according to the option selected by the respondent. Click on the conditional icon in front of the option you want to set the condition for.  

Choose the condition you want to associate with that option. Then, the condition summary will appear under the question in the templates.

Files

The "Files" option allows to request the respondent to add evidence or other general files during execution, such as photos, videos, and text files.

Date and Time

The "Date and Time" option allows the respondent to enter a date, time, or both.

Element

The "Element" option allows the respondent to insert an element during execution. He can even scan a QR code to add the element automatically.

Site

The "Site" option allows the respondent to insert a site during execution. He can even scan a QR code to add the element automatically.

Table

The "Table" option allows the respondent to insert data organized into columns and rows. It is possible to add the desired number of columns and give a title to each one of them.

Signature

The "Signature" option allows the respondent to enter the full name and his signature.

QR Code

The "QR Code" option allows the respondent to read a QR code during execution.

It is possible to validate QR code inputs during or when finishing a work order by linking two QR code inputs. This way it is possible to automate some validation processes on the shopfloor.

Click on the settings icon, then select the "Content Validation" option, and finally to link your input to another existing one, select the option "Link with input".

Select the other input that you want to link with.

Note: If you are linking an input within a task that has other tasks above it, you will first need to choose the task where the input you want to link is, and then choose the correct input inside that task. 
After associating a QR code input, it is also possible to add an "OR" condition to provide other validation options. To do this just click in the purple "+" icon on the label.

This will allow validating the QR code with the code of linked input or with an alternative code (a master code for example, like 0000 or admin)

It is also possible to validate more than one input with the same QR Code reader. To do that select multiple inputs to link with.

During execution, if you scan a QR code and that code corresponds to one of the QR codes mentioned in the labels, it validates the correct one. 

Tool

The "Tool" option helps the respondent to select a tool manually or by scanning the tool QR code during the work order execution. 

The gear icon (settings) allows you to configure advanced settings for:

  • Content Validation: You can add validation parameters to the question.

Choose the parameter you want to specify.

If you choose the option "Validation" you can choose between two types of validation, "Link with input" or  "Specific Tool".

  • Link with input: The question will be linked with other questions (selected by you). This way, when the user scans a tool item, it will validate if the tool's item is the same for both questions.

  • Specific Tool: During execution, the user needs to scan a specific item from the tool list that appears. The list shown is the list of materials associated with the task.
